PERSONAL DOCUMENT CHECKLIST for Spain Visa Application:

NOTE: YOU might not need all of the documents, it depends on the type of Visa you are applying for. These are all the personal documents you will require for any visa application. Decide which visa application you will be applying for and then use that checklist below to find out where to get each personal document and what to do with it.

DOCUMENTS NEEDED:

1. UNABRIDGED Birth Certificate

Unabridged Birth Certificates The... - South Africa to Germany ...
  • This is not the same as your normal birth certificate, this one includes the name of your parents and where they were born etc. along with your birth details.
  • The ID number for your parents on the certificate may be missing or your parents birth dates could be displayed as a number. Birth date: 30 years, is correct. This reflects the age at which they applied for their ID documents.
  • It might not say “unabridged” on the certificate. It is unabridged if your parents names are on the certificate.
  • Where do you get unabridged birth certificate: You can get this from your local home affairs office.
  • Application Turnaround Time: e a month or 3 or 6. Apply early.
  • Who needs it: I would suggest everyone gets this. Might need in the future too. Most importantly children. This is their proof of LINK to the Main applicant.
  • You will need it if you are going over as a dependent family member. This means for a reunification visa, non-working partner, parent or as a child. Always good to have it.
  • Apply and gather all your documents first.
  • Ensure the dates are valid – 3 months from day of print.
  • If they are out of date, go to the same home affairs office to reprint them. You don’t need to reapply for them as they are on their system already if your received a first copy.
  • You need to Apostil (by Dirco).
  • Translate into Spanish. Translate the latest copies as the document number will change on each copy. Leave the translator enough time to finish .

2. UNABRIDGED Marriage Certificate

  • Where: You can get this from your local home affairs office.
  • Application Time: It can take up to 6 months. Best to apply early.
  • Who needs it: You will need it if you are going over as a dependent family member: non-working partner. Or if joint accounts. Get it if you are married. Somewhere along the line you will need this.
  • Valid for 3 months of date of issue. Else ask for a reprint at the same home affairs if out dated.
  • Your LINK to the Main applicant by marriage.
  • You need to Apostil (by Dirco).
  • Translate into Spanish. Best to make an appointment with the translator. Take all the latest documents for translation just before your appointment. Make sure you leave enough time for translator to finish.

3. Police Clearance Certificate

The best way to get a police clearance when outside of South Africa
  • Where: Issued by your local police station. Needed from the country/countries you have been residing in over the last 5 years.
  • As issued, signed and stamped by your counties Police Service offices in my case the South African Police Service (SAPS) (Note: A Police Clearance Certificate is only valid for six (6) months from date of issue.)
  • Application Time: This can take 2 or 3 weeks, or a month or two depending on the service in your area.
  • Who Needs it: Everyone over 18 applying for a long term visa
  • Apply for your visa within 3 months after receiving this clearance. This one is a bugger!
  • If it is out of date you will need to reapply. And it needs to be translated again to reflect the new document number. And apostilled at Dirco again.
  • Gather all your personal documents.
  • Apply for your Police Clearance.
  • Send them all together to Dirco to save costs.
  • You need to Apostil (by Dirco).
  • Translate into Spanish. .

4. Health Clearance Certificate

  • Medical Certificate stating that you do not suffer from any major illnesses or do not pose a serious health risk.
  • Not older than 90 days.
  • It must be in accordance to the International Health Regulations 2005 act, with doctors signature authenticated by a public notary or the “Health P rofessions Council of South Africa (HPCSA) – your doctor should be able to advise.
  • Translate into Spanish. See example below.
  • Don’t need to legalise.

5. Valid Passport

  • With a minimum expiry date of 4-12 months from date of application.
  • Take the original Passport with.
  • A copy of all the pages including the blank pages.

6. Proof of Residence in Home country

  • Need an Original and a Photocopy.
  • This must be in the consular demarcation area, the area or province of the Consulate you are applying to.
  • Can be a Bank Statement, Electoral Title, A receipt with your name on.

7. Health Insurance

  • Public or Private health insurance arranged with a health insurer authorized to operate in Spain.
  • Have the corresponding paper work ready.
  • We needed to have this in place. This will depend on the consulate you are applying at.
  • Have all the paperwork ready. If they request it, you can just sign and accept the health insurance agreement.
  • Time frame: 3 weeks to a month.

8. Photograph

  • Recent, Colour photograph * 3
  • Size: 32mm x 26mm
  • Background of photo must be white.
  • Photo of applicants face, full frontal view without sunglasses, no headcover or garments.
  • High Resolution.
